Contact groups (Lookups)

1. Description

The page is designed for creating contact groups.

A contact can belong to one or multiple groups, or not belong to any group.

The page consists of the following elements:

  1. Records registry (Fig. 1.(1));

  2. Search field (Fig. 1.(2));

  3. Add tool (Fig. 1.(3));

  4. Add contacts to static group tool (Fig. 1.(4));

  5. Refresh records registry tool (Fig. 1.(5));

  6. Delete tool (Fig. 1.(6));

  7. Pagination (Fig. 1.(7)).

1.1. Records registry

The registry is a list of records of existing objects in this section. Each record consists of the following fields:

  1. Checkbox;

  2. Name column;

  3. Description column;

  4. Type column;

  5. Contacts column;

  6. State column;

  7. Editing tool;

  8. Removal tool.

1.1.1. Checkbox

Used to select one or more entries. An additional removal tool appears next to the search field after selecting one or more entries. Information about the number of entries chosen for deletion appears when you hover over this tool. When you click on it, a modal confirmation window appears.

It contains the Yes, No, and close ( image2024-3-7_15-21-56.png ) buttons.

  • Clicking the Yes button deletes the entries.

  • Clicking the No button closes the modal window, and the entries are not deleted.

All records on the page will be selected if you select the checkbox in the header.

1.1.2. Name column

This column displays the name of the contact group.

1.1.3. Description column

This column displays the description of the contact group.

1.1.4. Type column

This column displays the type of the contact group.

1.1.5. Contacts column

This column displays information about the number of contacts in the group:

  • If the group type is Static, the number of contacts included in this group is displayed;

  • If the group type is Dynamic, a dash (–) is displayed.

1.1.6. State column

A switch that activates image-20250513-160057.png or deactivates image-20250513-160127.png the contact group. The enabled state image-20250513-160057.png indicates that the contact group is active.

1.1.7. Editing tool

The General tab opens after clicking on this button. You can change the object's data and go to other tabs for editing.

1.1.8. Removal tool

It is used to remove an object with confirmation through a modal window. A modal confirmation window appears after clicking the image-20241231-121409.png button. Clicking the Yes button - deletes the object and the entry. Clicking the No button closes the modal window, and the object is not deleted.

1.2. Search field

Search is performed by the Name column.

It consists of an input field and a close button ( image-20241218-160723.png ) displayed when the cursor is placed in the input field. To search by part of a word or a number, use the * symbol. You can also use the * character to replace any number of characters.

1.3. Add tool 

To add a new contact group, click the add button – 1e209be9-9cb5-43c4-97b3-2465beb58213 . After clicking the add button, the Add contacts modal window opens (Fig. 4).

When selecting the Static type, the following detail pages are available:

When selecting the Dynamic type, the following detail pages are available:

1.4. Add contacts to static group tool

This tool is used to add contacts to the selected static group.

The tool is activated only if one or more groups with the Static type are selected in the registry using the checkbox (Fig. 5).

If no static groups are selected or only dynamic groups are selected, the tool remains inactive.

When clicking the tool, the Add contacts modal window opens (Fig. 6), which includes:

  • Contact search field (Fig. 6.(1));

  • Filtering by agent group, users, and tag (Fig. 6.(2));

  • Reset filters tool (Fig. 6.(3));

  • List of contacts for selection (Fig. 6.(4));

  • Add button to confirm (Fig. 6.(5));

  • Close button (Fig. 6.(6)) and close icon image-20260319-081309.png to cancel (Fig. 6.(7)).

After selecting contacts and clicking the Add button, the selected contacts are added to the chosen static group.

1.5. Refresh records registry tool

Refreshing the records registry table is performed by clicking the refresh button – image-20260322-111730.png .

1.6. Delete tool

The delete button (Fig. 1.(6)) becomes active after selecting records using the checkbox. Clicking the button opens a confirmation modal window (Fig. 3).

1.7. Pagination

It consists of the Rows per page field, which indicates the number of entries (it is possible to set from 1 to 1000) per page, and forward and backward buttons for switching pages.

2. Opportunities

2.1. Creating a new contact group

Goal

Create a new contact group

Preconditions


  1. Access to the CRM application;

  2. Access to the Contact groups section in the CRM application;

  3. Permission to create in the Contact groups section.

Scenario:

 

  1. Click the button image-20250211-133952.png . The Add contacts modal window opens.

  2. Select the type. Click the Create button

  3. The General detail page opens.

  4. Enter the data.

  5. Click the Save button. Access to other detail pages becomes available.

  6. Enter the data.

  7. Click the Save button.

Result

The data is saved.

2.2. Deleting a contact group

Goal

Delete a contact group

Preconditions

  1. Access to the CRM application;

  2. Access to the Contact groups section in the CRM application;

  3. Permission to view and delete in the Contact groups section;

  4. At least one record exists.

Scenario:

 

  1. Find the record to be deleted in the registry.

  2. Click the delete button – image-20250213-111620.png . The deletion confirmation modal window opens.

  3. Click the Yes button.

Result

The modal window is closed. The record is deleted.

2.3. Deleting multiple contact groups

Goal

Delete multiple contact groups

Preconditions

  1. Access to the CRM application;

  2. Access to the Contact groups section in the CRM application;

  3. Permission to view and delete in the Contact groups section;

  4. At least two records exist.

Scenario:

 

  1. Find the records to be deleted in the registry. Select them using the checkbox;

  2. Click the delete button in the top part of the records registry. The deletion confirmation modal window opens;

  3. Click the Yes button.

Result

The modal window is closed. The records are deleted.

2.4. Editing parameters

Goal

Modify parameters

Preconditions

  1. Access to the CRM application;

  2. Access to the Contact groups section in the CRM application;

  3. Permission to view and delete in the Contact groups section;

  4. At least one record exists.

Scenario:

 

  1. Click the edit button for this record. The General detail page opens.

  2. Open the required detail page.

  3. Make changes.

  4. Click the Save button.

Result

The data is saved.
